About the Role:

  • Manage the end-to-end registration process for Queensland Virtual Academy programs (across the State), ensuring registrations are processed accurately, efficiently, and within required timeframes.
  • Coordinate and administer online consent processes, ensuring all required documentation is completed, monitored, and securely maintained.
  • Build and maintain positive working relationships with schools, principals, regional teams, and internal stakeholders, providing responsive support throughout the registration lifecycle.
  • Act as the primary point of contact for registration enquiries, providing timely advice and resolving issues to ensure a positive customer experience.
  • Collect, validate, reconcile, and maintain registration, enrolment, consent, and participation data from multiple systems and sources, ensuring the accuracy and integrity of information.
  • Monitor registration progress and proactively follow up with schools to ensure all required information and documentation is received.
  • Prepare regular reports, data summaries, and dashboards to support operational planning, program delivery, and decision-making.
  • Maintain accurate records across registration databases and information management systems, ensuring compliance with departmental policies and privacy requirements.
  • Identify, investigate, and resolve data discrepancies while implementing quality assurance processes to maintain high data accuracy.
  • Develop and maintain registration procedures, user guides, and communication materials to support schools and stakeholders.
  • Identify opportunities to improve registration processes, system efficiencies, and customer service outcomes through continuous improvement initiatives.
  • Support the successful delivery of QVA programs by coordinating registration activities, maintaining strong stakeholder relationships, and ensuring high-quality administrative and operational support.

About You:

As the QVA Registration Manager, you will play a key role in coordinating registration activities, maintaining accurate records, analysing and validate data, preparing reports, and drive continuous process improvement, requiring exceptional attention to detail, strong analytical and problem-solving skills, and the ability to manage competing priorities while delivering high-quality, service-focused administrative support.

To succeed in this role, you will demonstrate:

  • Experience coordinating registration, enrolment, administration, or data management processes in a complex environment.
  • Strong interpersonal and communication skills, with the ability to build positive working relationships and provide responsive, professional support to schools and stakeholders.
  • Proven ability to manage and maintain accurate information across multiple systems and data sources while ensuring data integrity.
  • Excellent organisational skills, with the ability to prioritise competing tasks, meet deadlines, and manage high-volume workloads.
  • Advanced Microsoft Excel skills, including data analysis, formulas, filtering, reconciliation, reporting, and managing large datasets.
  • Strong analytical and problem-solving skills, with the ability to identify discrepancies, investigate issues, and implement practical solutions.
  • Demonstrated ability to maintain confidentiality and exercise sound judgement when handling sensitive information.
  • A proactive approach to identifying opportunities to improve processes, enhance efficiency, and deliver positive outcomes.
  • The ability to work independently while contributing effectively as part of a collaborative and supportive team.
