What we are looking for
The ideal applicant will have the following skills:
- Excellent communication skills
- High level I.T skills as many tasks are performed on-line
- Ability to work under the direction of a teacher in on-line classes
- Ability to problem solve and be flexible
Daily administrative tasks:
- Absentee checking and recording
- Maths Assessment inbox monitoring – aim to be cleared by hand-over day wherever possible
- Monitoring phone messages
- HOD support whilst on FWA
- Hand-over notes between TAs
- Daily check-in and check-out communication with HODs
- Sort and distribute physical mail – twice per day
- Monitor and order photocopying paper / staples etc + label maker monitoring
- Compile stationery list for the faculty
- OneSchool jobs as required:
- Contact note entry
- Class lists
- Student information
Exam preparation:
- Preparation of Cohort lists – HUGE!
- Liaise with Despatch re updated procedures and access requirements
- Interaction with EDDIE to formulate lists
- Supervisor communication
- AARAs – ensure they are up to date before EVERY exam
- Accessing OneSchool for latest AARA information
- Requires daily updates in the lead up to an exam
- Maths Assessment mailbox monitoring – HUGE!
- Exams emailed to supervisors (7-10, 11–12 Essentials, 11-12 General – overseas and SS)
- Use of Email Mate to send exams
- Exams packaged and mailed (General, Methods, Specialist - homebased)
- Create supervisor labels as required for mailing exams
- Onsite exam organisation
- Create sign on lists, AARA tracking sheets and communicate with community engagement for student lists
- Assistance when exam held on-site where required eg. Sign on
- Liaise with reprographics for exam printing for large cohorts
- Exam scanning upon return – ad hoc as required
- Making an interactive .pdf exam where required (predominantly Senior)
- Review assessment tasks prior to being emailed / sent
- Creation of assessment feedback sheets in excel – every assessment, every year level, every class
You will also:
- Support in-class online lessons using Teams where required
- Update and monitoring of Maths assessment calendar for assessment due dates
- Work rate calendar review and yearly overview booklet production
- Term by term diary production + staff allocation overview
- Library borrowing – as required to track texts stored in maths faculty
- Annual archiving of student records
- OneNote build in preparation for new year
- Mandatory training completion
- Faculty procedural recording and updating as required
- Education perfect class list upload – twice per week
- Adding/removing staff or students as required
