About St Mary MacKillop College 
St Mary MacKillop College (SMMC) is a Catholic co-educational secondary College operating within the Catholic Education (Canberra & Goulburn) system and is located on two campuses in the Tuggeranong valley. The Padua Junior Campus (years 7 to 9) is located in Wanniassa, and the St Peter’s Senior Campus (years 10 to 12) is located 5 km away in Isabella Plains. SMMC has a total of around 2,050 students, and around 220 staff across both campuses. 

About the Role 
This role provides vital support within the College and its dual campus community. This position is primarily responsible for the reception of visitors to the senior campus, phone reception duties, and administrative responsibilities at the St Peter's campus. The incumbent directly supports the administration and finance teams, assists parents with queries, and general support to the College. The Front Reception officer is the first point of contact parents/carers regarding student matters, and therefore requires a professional, efficient, and friendly manner; and timely communication to be a success in this role.

Key Responsibilities 

  • Manage the College reception and campus switchboard.
  • Build positive relationships with families providing them with information relating to the College. Follow up of parent concerns.
  • Manage the internal/external mail.
  • Assist with the daily student attendance process, recording absences, entering family/guardian responses and the distribution of SMS absence notifications in the School Administration system.
  • Recording of students on excursions, camps, and sporting events.
  • Assist in the preparation of college communication to families for mailing.
  • Ordering of office stationery and supplies.
  • Involvement in emergency evacuation procedures, managing rolls and class lists for Year Coordinators.
  • Assist with the collection, security and administration of cash received and balance charity floats as required.
  • Apply discreet and diplomatic handling of all sensitive and confidential matters.
  • Organise pigeonholes for new staff and keep the staff print area tidy.
  • Collection and distribution of student school blazers for assembly.
  • Participate in College professional development as required.

Qualifications  

  • Must hold a Working with Vulnerable People registration.
  • Previous experience in working in an education environment will be well regarded but is not mandatory.
  • Certificate or Diploma in or studying towards a business-related discipline would be highly regarded but is not essential. Selection Criteria 

  1. A passion and keen interest for administration working within an educational setting.
  2. Proficiency in the use of the Microsoft Windows desktop computing environment, including the Microsoft Office suite as Word, Excel, PowerPoint, OneNote, Outlook; database software applications; competent keyboard and typing skills and a demonstrated ability to adapt to the use of new software packages.
  3. Demonstrated knowledge of Work Health and Safety principles.
  4. The ability to prioritise tasks, manage time, plan, and organise one's own work to ensure deadlines are met.
  5. The ability to exercise sound judgement, decision making and initiative.
  6. A passion and aptitude for information precision and attention to detail.
  7. Proven ability to work cooperatively within a team environment and to also be self-directed and work autonomously without supervision.
  8. A strong professional client focus and a demonstrated commitment to client service.
  9. Excellent verbal and written communication skills, with a proven ability to engage others with a courteous, calm, and welcoming demeanor.
