About the Role

As the Executive Services Officer, you will provide comprehensive administrative and executive support to the Executive Principal and Business Manager. Your role will involve managing correspondence, scheduling, coordinating meetings, and handling confidential matters with accuracy and professionalism, all while maintaining high standards in documentation and client service.

Responsibilities will include, but are not limited to:

  • Maintain a high level of accuracy in all correspondence and administrative documents using departmental software programs and adhering to corporate standards.
  • Oversee the delivery and quality of documentation presented to the Executive Principal, ensuring it meets required standards.
  • Coordinate and organise appointments, meetings, conferences, professional development, room bookings, and functions for the Executive Principal and Business Manager.
  • Maintain and manage the Executive Principal's and Business Manager's diary, including scheduling and prioritising appointments and preventing unnecessary interruptions.
  • Take minutes during meetings and distribute them to attendees promptly.
  • Provide executive support by preparing agendas, papers, and minutes for meetings, and managing outstanding queries and information requests.
  • Monitor the progress of projects and action items, reporting updates to the Executive Principal as needed.
  • Conduct research and analysis on sensitive and confidential matters, providing detailed reports to the Executive Principal.
