Stretton State College is a high performing P-12 school located on the Southside of Brisbane (approximately 35 minutes from the CBD) comprising two campuses with an enrolment of nearly 3500 students.

About the Role:

As an Executive Assistant, you will play a crucial role in supporting the Executive Principal and College Executive team by managing administrative responsibilities, coordinating events and meetings and facilitating effective communication to a diversity of stakeholders. The Executive Assistant is the first point of contact for appointments with the Principal, monitoring communications and workflow to and from the office, document management, coordinating meetings and appointments and preparing background information and standard correspondence. In addition, the Executive Assistant is the first point of contact with internal and external community stakeholders, and manages communication and arrangements for activities related to them

Responsibilities include:

  • Support the Executive Principal to efficiently and effectively lead the school
  • Understand and build relationships with staff, students, P & C, School Council and College community
  • Liaise promptly and efficiently with external organisations and professionals
  • Ensure that supportive interactions occur with all who communicate with the Executive Principal
  • Provide executive and administrative support and assistance to the Executive Principal and Executive leadership team
  • Manage and maintain the Executive Principal's diary: (arrange appointments/coordinate meetings/ensure tasks are planned in a suitable time/ensure Principal is aware of any upcoming deadlines)
  • Manage events, travel and venue bookings, participant advice, catering and resources
  • Assist in the planning of school events e.g. parent teacher interviews and special College ceremonies
  • Maintain and update databases, contact lists and relevant school systems e.g. Social media
  • Prepare and develop, distribute and record all correspondence presentations and all material as required by the Executive Principal
  • Willingness to undertake other duties as reasonably requested by the Executive Principal

About You:

  • Confidence in working autonomously and in a team setting to produce quality outcomes
  • Exemplary interpersonal skills including approachability, and the ability to relate at all levels with empathy and professionalism
  • High level written and verbal communication skills including attention to detail and accuracy
  • Demonstrated ability to manage sensitive and confidential matters with discretion and diplomacy
  • Excellent planning and organisational skills
  • Effective time management skills and ability to prioritise workload efficiently
  • Confidence in providing information to students, parents, staff and the community
  • Proficiency in Microsoft Office suite
  • A positive disposition, solution focus and strong problem solving strengths to achieve outcomes.
