About the Role:

As the Executive Services Officer you will:

  • Provide high-level, effective, efficient and confidential executive and administrative support to the Director and Rural and Remote team in line with department policies and procedures, including diary and travel management.
  • Provide project support to assist the team in achieving key deliverables in the preparation of reports, spreadsheets, submissions, briefing material and correspondence relating to strategic priorities.
  • Liaise with senior management, and representatives of business units and regions across the department, and other government agencies to ensure the provision of high quality administrative support functions.

Responsibilities include:

  • Maintain the records management system, and administer the flow of correspondence, briefs and activities across the business unit in adherence with departmental guidelines, quality assurance processes and ensuring timeframes are met.
  • Develop, implement and review executive support systems and procedures within the unit to ensure that they operate in accordance with departmental requirements and standards.
  • Maintain a high level of accuracy in all correspondence, administrative documents and financial management.
  • Monitor progress and report to senior management on various projects, undertake investigation, research and analysis of sensitive and confidential matters.
  • Coordinate travel arrangements and handle with a high level of accuracy corporate card payments and reconciliations, using appropriate software programs and adhering to departmental standards.
  • Encourage an environment in which high quality services are delivered by continually seeking improvements in administrative systems and processes.
  • Provide secretariat support for meetings including preparations, coordination, taking of minutes and follow up of actions as required.

  • Experience with appropriate software programs, including MS Teams, Content Manager, SAP and OneNote.
