About the Team:
The Service and Infrastructure Planning Portfolio is responsible for leading the development of service and infrastructure strategies and plans, enabling the delivery of learning environments prioritised according to both present and future needs. Service and Infrastructure Planning is responsible for ensuring the Infrastructure Services Division has effective, standardised portfolio governance and assurance systems and processes that support transparency, on-time delivery of projects and achievement of intended benefits, within budget.
About the Role:
The Executive Officer assists in coordinating and prioritising tasks to support the operations of the Office of the Assistant Director-General by exercising independent judgement and considerable initiative to provide a wide range of administrative support to the Assistant Director-General and the directorates. This support includes correspondence, briefings, diary management, secretariat support and stakeholder engagement.
The Executive Officer is responsible for, but not limited to, the activities listed below.
- Ensure the efficient operation of day-to-day activities including coordinating the daily flow of business and providing confidential administrative support to the senior executive.
- Ensure the provision of efficient administrative support, including appointments and meetings, organising venues, financial management, travel arrangements and accommodation, and receive visitors to the Office of the Assistant Director-General.
- Undertake a variety project and committee support activities, including providing executive support for meetings, preparing and distributing agendas, papers and minutes, and following up action items.
- Maintain effective time management practices including coordinating diary appointments, prioritising correspondence, and promoting these behaviours in others.
- Maintain effective and efficient liaison between the Offices of the Assistant Directors-General, Office of the Deputy Director-General, Office of the Director-General and the Minister's Office, senior officers of the Department, other government representatives and external stakeholders on matters relating to Infrastructure Services.

About You:
We are looking for a highly organised energetic, passionate and experienced administrative professional with exceptional communication skills.
- You will be confident in building and maintaining positive key internal and external stakeholder relationships and you will have the ability to exercise independent judgement and maintain confidentiality on sensitive issues.
- You will have a high sense of accountability and an eye for detail, with the capability to manage multiple tasks and priorities for the Office, autonomously and collaboratively as needed.
