About the Role:

As the Executive Assistant, you will provide high quality, confidential executive and administrative support to the DDG and Director across the executive and administrative activities of the ODDG PPII.

You will maintain effective time management practices for the DDG and support effective operation of the office including coordinating appointments, meeting agendas and papers, and assisting with the flow of approvals and emails to ensure the efficient and timely preparation of high-quality responses

Responsibilities include:

  • Develop, maintain, sustain successful partnerships by working with the department to coordinate responses, address issues and assist in implementing process improvements.
  • Perform secretariat functions for meetings including preparing agendas, papers and minutes.
  • Oversee the analysis of incoming correspondence, allocating to the relevant senior officers where appropriate, and providing advice on required action while ensuring deadlines and timeframes are met.
  •  Develop, implement, review and monitor processes, procedures and guidelines to support the effective and efficient correspondence function across the branch and ensure alignment with departmental style guides, prescribed timeframes, tools and templates.
  • Facilitate the administrative operations of the office, including the coordination of travel arrangements, exercising assigned financial, purchasing and administrative authorities.
  • Apply financial management principles including procurement guidelines and experience in using Microsoft Office applications and Content Manager or similar electronic document management system.
  • Ensure that management is promptly informed of any contentious issues including those arising from clients' enquiries and complaints.
