The Administration Officer will provide high quality administrative and operational support across several key areas of the school including reception services, attendance monitoring and facilities coordination.

The successful applicant will be the first point of contact for many visitors to the school and will contribute to creating a welcoming and supportive environment for students, families and staff.

Reception and Front Counter

  • Provide professional front counter and telephone reception services for the school community.
  • Respond to enquiries from students, parents, staff and visitors in a timely and professional manner.
  • Manage general correspondence including phone calls, emails and enquiries.
  • Provide administrative support including filing, data entry, document preparation and record management.

Attendance Administration

  • Monitor and maintain student attendance records using departmental systems such as OneSchool.
  • Follow up unexplained absences with families and maintain accurate records.
  • Produce attendance reports and support school processes relating to student attendance.
  • Liaise with staff and leadership regarding attendance concerns.

Facilities Coordination

  • Support the coordination of school facilities maintenance requests through systems such as BEMIR and Oneschool.
  • Assist with tracking maintenance requests and communicating with contractors and departmental services.
  • Support the Business Manager with facilities administration and record keeping.

General Administrative Support

  • Maintain accurate records and information management systems
  • Provide administrative assistance to the Business Manager, leadership team and school staff.
  • Assist with school events, documentation and operational activities as required.
  • Contribute to the effective functioning of the school office.
  • AO3 officers provide administrative support and apply knowledge of departmental processes to ensure the efficient delivery of services and operations within the school environment.

About You:

  • Strong administrative and organisational skills with the ability to manage competing priorities in a busy school office environment.
  • Highly professional communication and customer service skills as the first point of contact for students, families, staff and visitors.
  • A strong team focus with a willingness to support and contribute positively to the broader administration team.
  • The ability to work independently while maintaining clear communication and contributing to shared team outcomes.
  • Reliability, attention to detail and the ability to maintain accurate records and administrative systems.
  • The ability to maintain confidentiality and professionalism when handling sensitive information.
  • Experience working with departmental systems such as OneSchool and Bemir, will be highly regarded.
  • Previous experience in a school administration environment or similar customer-facing administrative role will be advantageous.
